We are seeking a dynamic and organised individual to join our team as a Team Assistant. In this role, you will be responsible for providing essential support to our team, students, and trainers within the school environment. The ideal Team Assistant should possess excellent interpersonal, organisational, time management skills and the predisposition to work in a multicultural environment.

Tasks:

Management of the front and back office for students and trainers making sure the day-to-day operations of the team are running smoothly.
Serve as a liaison between students, trainers, and staff, addressing inquiries and providing assistance.
Acting as the first point of contact for the team to ensure smooth communication and effective coordination of tasks.
Manage, filter and route incoming calls and emails.
Assist in organising team meetings, preparing agendas, and documenting minutes.
Assist in organising (design, management and reporting) training sessions, workshops, and events, coordinating the logistical aspects of trainer activities, including travel and accommodation arrangements and resource management.
Support for communication activities.
Undertaking ad hoc administration tasks as required, such as assisting with documentation.
Continually looking for opportunities to develop and improve systems and procedures to maximise team efficiencies.

Requirements:

Good written and oral communication skills in English plus one of the two other official languages of the school (Italian and German). Willingness to learn a third language is also required.
Organisational and time management skills
Computer skills for daily activities
Good interpersonal skills, team spirit and sense of humour
Flexibility and availability for occasional events outside of the normal working hours
